Share Files

Share a file so your whole team drops the same logo, site photo, or 3D model into their own site studies and reports, instead of each person uploading a copy. Sharing a file adds it to the other person's File Manager and to their file picker inside projects.

Who can share a file

You can share a file when you have Admin access to it. The person who uploaded a file has Admin access. Admins of the workspace that owns the file also have Admin access, and so does anyone the file was shared with at Is admin.

The sharing options only appear for people with Admin access to the file.

Open a file's sharing options

  1. Go to Home. From inside a project, click the Giraffe logo at the top left and choose Home, or click Home in the breadcrumbs.

  2. Click Files in the Home sidebar. The File Manager opens with the heading My Files.

  3. Click the pencil icon on the file you want to share.

  4. Scroll down to File sharing in the Edit file window.

Share a file with a person

Share a file with one person by email from the File sharing section of the file's Edit file window.

  1. Type the person's email address in the Enter email... box.

  2. Choose an access level from the dropdown next to the box.

  3. Click Invite.

A file shared with a person offers two access levels:

  • Can view: the person sees the file in their File Manager, uses it in projects, and downloads it.

  • Is admin: the person can also rename, replace, tag, share, and delete the file.

Core accounts can share a file with a person at Can view only.

Share a file with a Team

Share a file with a Team to give every current member of that Team access at once.

  1. In the File sharing section of the file's Edit file window, click the Select team... dropdown and choose a Team.

  2. Leave the access level at Can view.

  3. Click Invite.

A Team share gives View access. To give someone Admin access to a file, share it with them individually. The list shows Teams in your current workspace. You need to be an admin of the Team or of its workspace to share with it.

Share a file with a workspace

Share a file with a whole workspace to give every member View access.

  1. In the File sharing section of the file's Edit file window, click the Select workspace... dropdown and choose a workspace.

  2. Click Invite.

A workspace share always gives View access. The dropdown lists only workspaces where you are an admin.

Stop sharing a file

  1. In the File sharing section of the file's Edit file window, find the person, Team, or workspace in the shared list.

  2. Click the delete icon at the end of that row.

  3. Confirm in the Revoke access? window.

Where a shared file shows up

A shared file appears in the recipient's File Manager, on the Files page of Home. It also appears on the File tab whenever they choose an image or 3D model inside a project.

Files used in a shared project

Sharing a project does not share the files used in it. A collaborator needs access to each file to see it in the project. Files with a Public URL load for anyone.

To make an image or 3D model follow the project's own sharing, add it as a project attachment. See Project Attachments.

Public URL files

A file uploaded with Public URL turned on can be opened by anyone with its link, without logging in to Giraffe. Choose this setting when you upload the file. It cannot be changed afterward.

🚨 Warning: Do not turn on Public URL for anything sensitive. Anyone with the link can open the file.
