Workspace admins can edit workspace properties to change settings, defaults, or naming.
Preview
Preview how workspace properties appear in forms in the Workspace Properties panel of Settings.
Navigate to Main menu -> Manage Account -> Settings
The ordering, grouping, and collapse of groups will reflect the appearance to workspace members in the project create forms.
To preview how a property appears to workspace members, click "preview"
Edit
To edit a workspace property's settings, click the edit pencil icon
You can:
Change the property type (see warnings below)
Change the Label
Update description
Adjust min/max/step/precision/prefix/suffix (numeric) (see warnings below)
Add/remove select items (see warnings below)
Change default value
Change required/editable/visible to guests
You cannot change the Name. Name is a key field that keeps the data organized between projects.
Warnings
You can edit workspace properties any time. However, it is good to be aware of the downstream consequences of certain changes.
The main thing to be aware of it data compatibility issues. If you change a field from Text to Number, for instance, any projects with values saved as alpha-numeric will no longer be valid. The value will be retained, however, which may cause filtering issues in the portfolio layer.
Changing Type
Changing the property type carries risks of invalid data. The 2 biggest culprits will be Number and Date properties, as the values saved in these properties have specific formats.
Changing Label
As noted above, you cannot change the Name of a property because that is the key value to track the property between projects. You can change the Label of the property. It is not recommended to make the Label something completely unrelated to the Name.
For Instance, a property with the name salePrice should not have a label that says Area.
If you need to completely change a field, it is recommended to delete the existing field and create a new one instead of changing the label to be drastically different.
Changing Number Settings
Changing number settings is fine in most cases. The only risks are invalid data values if you change min or max to be below/above values that are already saved on projects.
Changing Select items
Changing select items carries similar risk to changing the label. If you change the Label of a select item to be drastically different from the Name intent, it could lead to confusion and data mismatch.
Deleting a select item from the list removes that option from future projects, but does not delete that value if it was previously selected. To remove the value from the workspace entirely, use filters in the portfolio layer to find and replace those values with new ones.
